What AI tools can and cannot do

AI tools in business workflows can draft, suggest, classify, summarise, and generate outputs at speed. What they cannot do is make final decisions on behalf of your organisation. AI outputs are probabilistic — they are informed guesses based on patterns, not verified facts. This means every AI output used in a business process should be reviewed by a human before it is acted on, published, or sent to a client.

Approval gates: what they are and why they exist

An approval gate is a checkpoint where a human must review and confirm an AI-generated action before it proceeds. Approval gates exist because some actions — publishing content, updating client records, sending communications, making financial decisions — cannot be reversed easily if the AI output was wrong. The gate is not a bureaucratic hurdle; it is a protection for your organisation and your clients.

Human-in-the-loop: your role

Being "in the loop" means more than clicking approve. It means genuinely reviewing the output before confirming it. If you're asked to approve an AI-generated email draft, read it. If you're asked to confirm an SEO recommendation, understand what change it's proposing. Rubber-stamping approvals defeats the purpose of the governance layer and transfers the risk back to your organisation.

Recognising AI drift and poor outputs

AI outputs can look confident and be wrong. Red flags include: factual claims you can't verify, tone that doesn't match your brand, outputs that contradict known policy, and suggestions that seem unusually convenient or dramatic. If something doesn't feel right, don't approve it — reject it, document why, and let the system learn from the correction.

Responsible use boundaries

Do not use AI tools to generate outputs for uses they weren't approved for in your organisation. Do not use public AI tools to process client data, personal data, or confidential business information unless your organisation has explicitly approved that tool for that purpose. When in doubt, ask before you act — not after.
